CLUB RULES

Rule 1: Name
The name of the club shall be “Retro Rockers Tasmania Inc” (social club).
Rule 2: Objectives
The objectives of the Club will be:
2.1 To provide social and cultural activities for members enjoyment and participation.
2.2 To provide for and assist members in their dancing skills, namely, but not limited to, Rock & Roll.
2.3 To participate in charitable community activities and organised functions, demonstrations and workshops to promote Rock & Roll dancing and the Retro Rockers Tasmania social club.
Rule 3: Membership
3.1 Those eligible for membership shall be all people with similar interests towards Rock & Roll dancing.
3.2 An annual subscription fee per member will be applied and due for payment on 1st October of each year.
3.3 The subscription fee will be set at the Annual General Meeting.
Rule 4: General Management
4.1 The annual general meeting shall take place in the month of April.
4.2 The financial members of the club shall elect a Committee of Management consisting of:-
4.2.1 three (3) executive officers, namely President, Secretary, and Treasurer.
4.2.2 for the purpose of a committee meeting, a General Committee consisting of three (3) financial members will be chosen from those members present at the time of the meeting.
4.2.3 members of the General Committee will hold the same voting rights as Committee of Management members for the duration of the meeting for which they have been chosen.
4.2.4 the immediate past President will be invited to be an ex-officio member of the Committee of Management for a period of one year immediately following the annual general meeting.
4.2.5 the Club will appoint a Public Officer to deal with all matters relevant to incorporation. The role of Public Officer shall be combined with that of Secretary.
4.3 All Executive Officers to be elected from the financial members of Retro Rockers Tasmania at the Annual General Meeting, for a period of twelve months, to manage the day to day affairs of the club.
4.3.1 Nominations for Executive Officer positions should be in writing, or on an appropriate form issued by the Secretary,
4.3.2 Nominations should be proposed and seconded by financial members of Retro Rockers Tasmania,
4.3.3 Nominations must be accepted and endorsed by the nominee,
4.3.4 If nominations are not received prior to the Annual General Meeting for all positions declared vacant, nominations may be accepted from the floor, subject to Rules 4.3.2 and 4.3.3.
4.3.5 to be elected to an Executive Officer position, a person must have been a member of Retro Rockers Tasmania for a period of at least 12 months.
4.4 The Committee of Management to meet as required provided at least one meeting
is held in each half of the calendar year.
4.5 A Quorum of at least 5 members comprising any 2 of the Executive Officers
(ie President, Secretary, or Treasurer) and 3 members of the General
Committee must be present for a committee meeting to proceed. Treasurers
Report sent to members at the end of each month.
4.6 In the event of a casual vacancy, or extended leave of absence, the Committee of Management will appoint an appropriate member to fill the vacancy.
4.7 Where issues arise that the Committee of Management deem major, a Special General Meeting will be called by the Committee of Management.
4.8 The General Membership, on the presentation of 25% of financial members' signatures, is empowered to call a Special General Meeting.
4.9 A Special General Meeting may only be called after 14 days notice is given to all financial club members.
4.10 Notice for a Special General Meeting must be sent either,
a)electronically to last known email address, or
b)by letter to last known postal address.
4.11All members of the Committee of Management are answerable to the general membership and must make available to financial members a copy of all minutes and a detailed monthly statement of the club’s financial accounts upon request.
4.12Any alterations or additions to the “Club Rules” must be voted in favour of by not less than three quarters of the members present at any Annual or Special General Meeting following the notice of motion having been distributed to all financial members.
4.13Conflict resolution – in the event of any conflict, the Committee of Management will address the issue.
4.14Insurance cover appropriate to the activities of Retro Rockers Tasmania shall be maintained as current by the Club.
Rule 5: Financial Management
5.1A bank account to be opened / maintained in the name of the club.
5.2The bank account to be operated by any 2 of the 3 executive officers, or 1 executive officer and 1 general member. The general member to be appointed by the Committee of Management from financial members who have been a member of Retro Rockers Tasmania for a period of at least 12 months.
5.3Financial records will be maintained by the Treasurer.
5.4The club will run as a not for profit organisation.
5.5Financial support or charitable donations:-
5.5.1 Any request for financial support or charitable donation will only be considered by the Committee of Management upon receipt of a written request and supporting documentation.
5.6 The financial year for the club shall be from 1st April in any year until 31st March in the year following.
Rule 6: Clothing
6.1The official club colour for all tops will be a combination of orange and black.
6.2All jackets to be black.
6.3Where black is used, the monogram and logo colours with black outline will change to orange.
6.4The monogram and logo will remain the property of Retro Rockers Tasmania.
Rule 7: Winding up of Club
7.1 If upon the winding up or dissolution of the Club there remains, after satisfaction of all debts and liabilities, any property whatsoever, the surplus must be given or
